This notice explains how H Prestige Estates Ltd collects and uses your personal information when you browse this website, get in touch, or ask us to help you buy, sell, let or rent a home. It covers what we collect, why we collect it, how long we keep it, who we share it with, and the rights you have under UK data protection law.

Who we are and how to contact us

H Prestige Estates Ltd (registered in England and Wales, company no. 15940022) is the controller of the personal information described in this notice. This means we are responsible for deciding how and why your information is used. We are registered with the Information Commissioner’s Office, registration reference 00012118924.

Our registered office is 23 Brockenhurst Road, Ascot, Berkshire, SL5 9DJ.

You can contact us about anything in this notice, including to make a request about your information, in any of the ways below. We have not appointed a data protection officer, as we are not required to, but any member of our team will help you or pass your request to the right person.

The information we collect, use and why

We only collect information we genuinely need in order to help you and to run the agency. What we hold depends on how you use the site and our services. Each activity below sets out what we collect, why we use it, and the lawful basis we rely on, which are explained in full in the next section.

Enquiry, contact, viewing, repair-report and register-your-search forms

What we collect
Your name, email address, phone number and message, together with any details you choose to give us such as your budget, the number of bedrooms you need, the areas you are looking in, the property you are enquiring about or, for tenants, the repair you are reporting. When you submit a form we also record the date and time of your consent and the IP address it came from.
Why we use it
To reply to your enquiry, arrange a viewing or a valuation, deal with a repair you report, register your requirements so we can match you to suitable homes, and keep a record that you asked us to contact you.
Lawful basis
Consent, when you send us an enquiry or register your search, and our legitimate interest in responding to you and providing our sales and lettings service.

The next step planner

What we collect
The goals you select, your timescale and priorities, the property address you enter, and the contact details you provide.
Why we use it
To understand what you are trying to do, whether that is buying, selling, letting or renting, and to follow up with the right guidance from the right person.
Lawful basis
Consent, and our legitimate interest in responding to your request.

The instant online valuation tool

What we collect
The instant valuation widget on our site is provided by Zoopla Limited. The address, property details and any contact details you enter into the widget are collected by Zoopla, which processes them under its own privacy policy and may share the enquiry with us so we can follow up. If you book an in-person valuation through our own forms instead, we collect the contact and property details you provide.
Why we use it
To give you an indicative online estimate through Zoopla's tool and, only if you ask us to, to arrange an accurate valuation in person. The widget loads only once you allow functional cookies.
Lawful basis
Consent, when you choose to use the widget or submit your details, and our legitimate interest in offering the service. Zoopla is a separate controller of the information you enter into its widget.

Careers and job applications

What we collect
Your name, address, email address, phone number, the CV or supporting information you upload, and anything you tell us in your application.
Why we use it
To consider you for a role with us, contact you about your application, and keep a record of our recruitment decisions. We hold application information, including your CV, in a secure private store with restricted access.
Lawful basis
Consent, which you give when you apply, and our legitimate interest in recruiting for the business.

Newsletter and property alerts

What we collect
Your name and email address, and the search preferences you give us so that we can tailor what we send you.
Why we use it
To send you property alerts, market updates and other information you have asked to receive. You can unsubscribe at any time using the link in any message, or by contacting us.
Lawful basis
Consent.

Website usage information and cookies

What we collect
Technical information such as your IP address, device and browser type, and how you move through the site, together with information from cookies and similar technologies. With your consent, this includes analytics information collected through Google Analytics, with IP addresses anonymised.
Why we use it
To keep the site secure, prevent abuse of our forms including through bot-protection checks, and, only with your consent, understand and improve how the site is used.
Lawful basis
Our legitimate interest in a secure, working website, and your consent for any non-essential cookies, including analytics. See our Cookie policy for the detail.

Identity and anti-money-laundering checks

What we collect
If you go on to instruct us to sell, buy, let or rent a property, we are required by law to verify your identity. We collect proof of identity and proof of address, and may use an electronic verification check.
Why we use it
To meet our legal duties to prevent money laundering and to comply with the rules that govern estate and letting agents.
Lawful basis
Legal obligation, together with our legitimate interest in protecting the business and our clients.

The tools referred to above are our instant online valuation, the next step planner, buyer and tenant registration, and careers applications.

Our lawful bases and your rights

The lawful bases we rely on

Under UK data protection law we must have a valid lawful basis for using your personal information. We rely on three, and we may rely on more than one at the same time.

  • Consent. where you have given us clear, positive agreement to use your information for a specific purpose, such as sending an enquiry, registering your search, applying for a job, or signing up for property alerts and marketing. You can withdraw your consent at any time, and doing so will not affect anything we lawfully did with your information beforehand.

  • Legitimate interests. where we use your information in ways you would reasonably expect and that have a minimal impact on your privacy, such as replying to your enquiry, providing our sales and lettings service, keeping the site secure, and running and improving the agency. You can object to processing we base on our legitimate interests.

  • Legal obligation. where the law requires us to use your information, in particular the identity and anti-money-laundering checks we must carry out, and the rules that govern estate and letting agents.

Your data protection rights

You have the following rights over your personal information. They do not all apply in every situation, and we will explain if an exception applies when you contact us.

  • The right to be informed. understand how we use your information, which is the purpose of this notice.

  • The right of access. ask for a copy of the personal information we hold about you.

  • The right to rectification. ask us to correct information that is inaccurate or incomplete.

  • The right to erasure. ask us to delete your information where there is no good reason for us to continue holding it.

  • The right to restrict processing. ask us to limit how we use your information in certain circumstances.

  • The right to object. object to processing we base on our legitimate interests, and object to direct marketing at any time.

  • The right to data portability. ask us to provide the information you gave us in a structured, commonly used electronic format.

  • The right to withdraw consent. withdraw any consent you have given us, at any time, without affecting our earlier use of your information.

To exercise any of these rights, contact us using the details in section 1. We will respond within one month. There is normally no charge. If your request is especially complex we may take up to a further two months, and we will always tell you if that is the case and why.

Where we get your information from

Most of the information we hold comes directly from you. We also receive some information from other sources.

  • Directly from you. when you complete a form, use one of our tools, apply for a job, call us, email us, or meet us in person. This is where most of the information we hold comes from.

  • Our estate agency software. the property listings and media shown on this site are managed through our software provider, Alto, part of the Vebra platform.

  • Public sources. for valuations and market information we use openly published data, such as HM Land Registry sold-price records, the UK House Price Index, and public address and mapping data.

  • People acting for you. occasionally from a third party you have asked to deal with us on your behalf, such as your solicitor or mortgage adviser.

How long we keep your information

We keep personal information only for as long as we need it for the purpose we collected it, and then we delete it or make it anonymous. In general:

  • Enquiry and registration information. we keep for as long as it is useful in helping you with your move and providing the service you asked for. Once we can no longer help, or you ask us to stop, we delete it.

  • Job applications. we keep for around twelve months, so we can consider you for other suitable roles, unless you ask us to remove your details sooner.

  • Marketing and alert preferences. we keep until you unsubscribe or withdraw your consent.

  • Records we must keep by law. such as identity, anti-money-laundering and transaction records, we keep for as long as the relevant regulations require, which is generally at least five years.

If you would like the specific retention period for a particular type of information, please ask us using the details in section 1.

Who we share your information with

We do not sell your personal information, and we never will. We share it only where we need to in order to provide our service, run the site, or meet a legal duty. Our providers act on our instructions and may only use your information for the purpose we give it to them.

  • Our website hosting platform (Vercel) and our database provider (Supabase). serve this website and store its data, with our main data hosting in the UK or EU region.

  • Our email provider (Resend). sends the confirmation and notification emails triggered by our forms, from servers in the EU.

  • Our bot-protection provider (Cloudflare Turnstile). checks that form submissions come from a person rather than an automated bot.

  • Our analytics provider (Google Analytics), only with your consent. helps us understand how the site is used, with IP addresses anonymised. Nothing is shared unless you allow analytics cookies.

  • Zoopla Limited. provides the instant online valuation widget, and is a separate controller of the details you enter into it.

  • Address and mapping providers (postcodes.io and OpenFreeMap). power address look-up, postcode search and the maps shown on the site.

  • Our website agency (One Stop Creative Agency). builds and maintains this website for us, and accesses information only where needed to operate and support it, on our instructions.

  • A mortgage adviser. only if you ask us to introduce you to one.

  • Professional and legal advisers. such as our solicitors or accountants, where it is necessary for our business or to protect our legal position.

  • Regulators, redress and client money protection schemes, and law enforcement. where we are legally required to share information, or need to in order to establish, exercise or defend legal claims.

Cookies

This site uses only the cookies it needs in order to work, and it sets no analytics or marketing cookies without your explicit opt-in. You can change or withdraw your cookie choices at any time.

International transfers

We aim to keep your personal information within the UK and Europe, and our main data hosting uses a UK or EU region. Some of our providers may process limited information outside the UK.

Where any transfer takes your information outside the UK, we make sure appropriate safeguards are in place, as required by Article 44 of the UK GDPR. Depending on the provider, that means the transfer is covered by a UK adequacy decision for the destination country, or by standard contractual clauses approved for use in the UK, together with any additional protection needed. You can ask us for more information about the safeguards we use.

How to complain

If you are unhappy with how we have handled your personal information, please tell us first, using the details in section 1, so we have the opportunity to put things right.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection:
